This document sets out the basis on which we will process your personal data in relation to any information that you submit to our online recruitment software and any information gathered on this website.

This includes the sharing of limited personal data with third-party assessment providers used as part of our recruitment process.

This is an important document, and we would ask you to read it carefully and if you are unsure of any of its terms please ask.

Introduction

We are committed to protecting and respecting your privacy.

As part of this commitment, we want you to know our principles and practices for collecting, using, storing, and disclosing your personal information.

Please read this notice carefully as it contains important information on who we are, how and why we collect, store, use and share personal information generally, your rights in relation to your personal information and how to contact us and supervisory authorities in the event you have a complaint.

Scope

This notice relates to all data subjects whose personal information is processed by Succession Group Limited in relation to our careers website.

Our collection and use of your personal information

The purpose of the data collection and the type of data requested is decided by the Data Controller. In this instance the Data Controller is Succession Group Limited registered in England (company number 07882873). The Data Controller uses a Data Processor in order to collect, store and securely transfer your data. In this instance your Data Processor is Talos 360 Basecamp, 4 Webster Court, Carina Park, Warrington, WA5 8WD. The Data Protection Officer for Talos 360 can be contacted at: info@talos360.co.uk

We may also use additional specialist third-party service providers to support specific stages of the recruitment process, including assessment and testing providers who act as independent controllers. Where we do so, only the minimum personal data required (such as your name and email address) will be shared to enable those services to be delivered.

When we mention “we”, “our” or “us”, we mean the relevant company in the Succession group that processes your personal information.

We collect personal information about you when you apply for a role with us. The purpose of our data collection is to assess your suitability for the specific job role that you have applied for. This may include inviting you to complete assessments delivered by a third-party assessment provider. We may also use this information to contact you about other similar job opportunities and may also statistically analyse your data.

We may also need to request and process your data if it is necessary for the performance of a contract or if we have a legal basis for doing so. This may include the data that you need to supply to us in order to satisfy the offer of a term of employment.

Data security

The technology that we use has been designed with your security in mind. Our Data Processor’s servers are based in the UK and EEA countries (Germany, France and Netherlands), and deploy both technological and operational security measures along with internal policies specifically implemented to protect your data.

Legal basis

We are required by law to have a specific reason for collecting and using your personal information. We will only process your information where we have a valid reason to do so under data protection legislation as follows:

Legitimate interests - we may use your personal information for our legitimate business interests, including managing and administering recruitment, assessing candidate suitability and sharing limited data with third-party recruitment assessment providers. When we process personal information to meet our legitimate business interests, we put in place robust safeguards to ensure that your privacy is protected and to ensure that our legitimate interests are not overridden by your interests or fundamental rights and freedoms.
Consent – we will request your explicit consent for the following purposes:
- Retaining yur data beyond the retention period defined in this privacy notice to be considered for other suitable opportunities at Succession. We will inform you of this consent requirement, and request your explicit ‘opt-in’, before the retention period defined in this privacy notice expires.
Legal obligation - in some circumstances we are permitted by law to process your personal information.

What data do we collect?

The personally identifiable information that we identify, store and process on this site is that which is voluntarily provided to us. This includes (but not limited to):

Your CV
Cover letters
Personal information supplied such as your name, email address & phone number
Any details you enter into any application form
Any answers to questions that correspond with your recruitment preferences
Any supporting information that you provide to expand your candidate profile
Health data, criminal conviction data and data relating to financial history

Automated decision-making and profiling

As part of the recruitment process, a third-party assessment provider may analyse your assessment responses (profiling) to support decisions about your suitability for the role applied for.

No recruitment decisions are made solely by automated means. Final hiring decisions are made by recruiters within Succession Group limited.

You can exercise your data protection rights directly with the third-party provider as well as with us.

Your data access rights

Under the General Data Protection Regulation, you have a number of important rights. In summary, those include rights to:

access to your personal information and to certain other supplementary information that this notice is already designed to address
require us to correct any mistakes in your information which we hold
require the erasure of personal information concerning you in certain situations
receive the personal information concerning you which you have provided to us, in a structured, commonly used and machine-readable format and have the right to transmit those data to a third party in certain situations
object at any time to processing of personal information concerning you for direct marketing
object to decisions being taken by automated means which produce legal effects concerning you or similarly significantly affect you
object in certain other situations to our continued processing of your personal information
otherwise restrict our processing of your personal information in certain circumstances

We may ask you for proof of identity when you make a request to exercise any of these rights. We do this to ensure we only disclose information to the right individual.

If you’re not happy with the manner in which your data has been processed you can submit a case to our internal complaints procedure by contacting dataprotection@successionwealth.co.uk. If you are not satisfied with the outcome of our investigation, you have the right to contact the ICO (http://www.ico.org.uk).

Sharing Data

The data that you submit to this site may be:

Made available to the Data Controller
Made available to the Data Processor
Made available to other Succession Group entities
Used to communicate with you about your application
Used to communicate with you in regards to recruitment
Used to supply you with relevant (optional) job alerts
Added to a searchable candidate database
Analysed for our internal statistics to improve processes

Sometimes information may be processed on our behalf by relevant third parties; this includes but is not limited to: video interviewing companies, payroll software, HR systems and background check providers. Other third parties, such as recruitment assessment providers, act as independent data controllers and may process your information for their own purposes in relation to the assessment.

Assessment results are only accessible to the candidate and to recruiters responsible for the specific role applied for.

We will not collect your information for unrelated purposes without first requesting your consent.

In some cases, we may be compelled or permitted by the law, an official authority or regulatory requirements to process your personal information without your consent or knowledge, even after you have exercised your right to withdrawal, to be forgotten, or objected to processing. If this happens, we will only process the limited personal data that we are required to do so under these specific requirements.

Candidate choice and objections

You may object to your personal data being shared with a third-party recruitment assessment provider, or request not to participate in an assessment. Where possible, we will consider alternate assessment methods.

You may also request deletion of your personal data at any time, subject to legal or regulatory obligations.

Length of data storage

If there is no activity on your candidate account for 12 months, it will be deactivated. We will provide you with the opportunity after 12 months to keep your account active by requesting your consent to store your data. You can also request to withdraw your details at any time and thereafter your data will be fully anonymised for further protection.

Assessment and recruitment data will not be retained for longer than necessary for recruitment purposes.

Privacy Policy changes

Provided that compliance is maintained in regard to the General Data Protection Regulation (EU) 2016/679, we reserve the right to amend and modify this privacy statement for any reason and at any time.
